Business travel with a fixed schedule

A conference trip is different from a leisure trip. Your days are set by a programme, not by you, and the time you do have free might be a single afternoon, an evening, or the morning before your flight home. Kigali hosts a steady stream of international conferences, many of them at the Kigali Convention Centre, the dome-shaped venue that has become one of the city's landmarks. Transport for the conference days

We arrange the transfers that bracket a conference trip: from the airport to your hotel, from your hotel to the venue each morning, and back at the end of the day. Tip

If your conference has an evening reception or gala dinner at a different venue, tell us in advance. We can add that leg to the same day's transport plan rather than arranging it separately at short notice.

If you have a free afternoon or evening

Delegates sometimes find themselves with an unplanned gap, a session that finishes early, or a day added before the conference starts. A few options work well in a short window:

Extending the trip

Many business travellers add leisure days before or after the conference, once the working part of the trip is confirmed. A short Rwanda itinerary, such as gorilla trekking or a Lake Kivu stop, is easier to plan once your conference dates are fixed, since it tells us exactly which days are free. Group bookings

For a delegation of several people, we plan transport as a group rather than as separate transfers, which is usually more efficient and easier to track. Tell us the full delegate list, arrival and departure flights, and the conference schedule, and we return one coordinated plan covering every leg.

Booking ahead

Conference dates are usually fixed well in advance, which gives us time to plan transport properly rather than scrambling the week before. Send us your programme as soon as you have it, including venue, hotel and flight details, and we return a written plan you can share with the rest of your delegation.

Working with event organisers

Larger conferences often have a designated logistics contact managing transport for speakers, sponsors and delegates as a group. We are used to working alongside an organiser's team, fitting into their existing schedule rather than running a separate, uncoordinated system. If you are the organiser rather than an individual delegate, tell us the scale of the event and how transport has been split so far, and we propose where we can support it.

Hotels near the venue

Where you stay affects how straightforward your daily transport is. A hotel within easy reach of the Kigali Convention Centre or your specific venue cuts the daily commute noticeably compared to one on the far side of the city. If you have not yet booked accommodation, tell us your venue and dates and we suggest hotels that keep the transfer short, alongside our hotel and lodge booking service.

After the conference ends

Many delegations wrap up with a closing dinner or reception on the final evening, sometimes at a venue away from the main conference site. We plan this as part of the same transport schedule, so the last evening does not become an unplanned scramble to find a taxi. Combining business and leisure

A growing number of conference visitors extend their trip by a few days either side of the event, treating the business travel as an opportunity to see more of Rwanda while they are already in the country.
