Travelling as a group
When a party grows past four or five people, several small cars become harder to manage than one larger vehicle. A minibus or coaster keeps everyone together, on the same schedule, with one driver who knows the route. This suits conference delegates moving between hotel and venue, extended families on a reunion trip, school or university groups and tour groups touring the country together.
This page covers our group transport. For individual or small-group hire, see car rental in Rwanda and car hire with a driver-guide.
Vehicles and capacity
We arrange minibuses and coasters sized to your group, with a professional driver included as standard for vehicles of this size.
See our fleet for what else we operate, including smaller 4x4s if your group splits into vehicles for park activities.
Common uses
- Conference and delegate transfers between hotels and venues. See conference and business traveller tours and the article on conference transport in Kigali.
- Family reunions and multi-generational trips, where one vehicle keeps the group together. See Rwanda tours for seniors and our article on multi-generational family trips.
- School, university and volunteer groups moving between sites.
- Wedding parties needing shared transport alongside a dedicated wedding car. See wedding and event car hire.
Planning a group trip
| Group size | Suggested transport |
|---|---|
| 5 to 12 | Minibus |
| 13 to 30 | Coaster |
| Mixed activities, some off-road | Minibus plus 4x4 support vehicle |
Tell us your itinerary and we suggest the combination that fits, including whether a second, smaller vehicle should carry luggage or handle park tracks unsuitable for a larger bus.
Sample day for a group tour
- Morning Pickup from hotels across Kigali on one coordinated run.
- Daytime Group travels together to the day's destination, whether a conference venue, a cultural site or a national park gate.
- Activities Smaller vehicles or walking groups handle any off-road or trekking portion.
- Evening Return transfer to hotels.
See Kigali tours and day trips from Kigali for ideas to build into a group itinerary.
What is included and not included
Each quote is itemised and covers the vehicle, driver and insurance as stated in the agreement. Fuel, park fees, meals and accommodation for the group are usually quoted separately. See car rental prices in Rwanda.
Church, community and NGO groups
Beyond conferences and family reunions, we regularly arrange minibus transport for church groups, community associations and NGO field visits, where the driver's familiarity with rural routes and modest, respectful conduct at community sites matters as much as the vehicle itself. Tell us the nature of your visit and any sensitivities around the communities you plan to meet, and we brief the driver accordingly.
Multi-day group tours
Beyond single transfers, minibuses and coasters also work well for multi-day group touring, where the same vehicle and driver carry the whole party between destinations such as Musanze, Lake Kivu and Nyungwe. This keeps costs predictable across the trip and avoids the complexity of rebooking transport at every stop. See our 7-day Rwanda tour for an example of an itinerary that suits group travel over several days.
Luggage and equipment for groups
Group trips often carry more than personal luggage: conference materials, sports or musical equipment, or supplies for a community project. Tell us what the group is bringing beyond suitcases, since this affects whether a minibus has enough room or whether a second vehicle or a small trailer arrangement makes more sense. Sorting this out before the trip avoids a squeeze on the first morning.
Working with event organisers
For conferences and larger organised trips, we are happy to work directly with an event organiser or travel coordinator rather than each traveller individually. This usually means a single point of contact handles the schedule, pickup lists and any changes, which keeps communication simple on both sides and reduces the chance of a delegate being missed from the plan.
Comfort on longer group journeys
A minibus or coaster used for a full-day journey, such as Kigali to Lake Kivu or Kigali to Nyungwe, needs to be comfortable over several hours, not just adequate for a short city transfer. Ask us about seat spacing, luggage space and air conditioning if your group is covering a longer route, since these details matter more the longer everyone is on board together.
Coordinating a large group itinerary
Group trips often involve more moving parts than an individual tour: multiple hotel pickups, a fixed arrival time at a venue or a shared meal booked for a set hour. We ask for your full schedule in advance, including any speakers, ceremonies or connecting flights that the transport plan depends on, so the driver can build in the right buffer for Kigali traffic and any unexpected delay along the route.
Splitting a group across activities
Not every group activity suits a single large vehicle. If part of your group wants to trek in Volcanoes National Park while others prefer a gentler day at a cultural village or a coffee cooperative, we can split the group across a minibus and one or two smaller vehicles, each with its own driver, and bring everyone back together for the evening. Tell us how your group's interests differ and we build a plan around it rather than forcing one itinerary on everyone.
How to book
- Send your group size, dates, pickup points and itinerary.
